RIVER OF LIFE FARM GUEST POLICIES
We want every guest to have a safe, comfortable, and enjoyable stay at River of Life Farm. Please review the following policies before your arrival. These policies are intended to protect our guests, our property, and the experience of everyone staying at the resort.
POLICY AGREEMENT
The primary guest will receive a link to this Policy Agreement by confirmation email and must review and sign it within 24 hours of booking.
By signing this agreement, the primary guest acknowledges that they have received, read, and understand these policies and agree to comply with all terms contained in them.
The primary guest is also responsible for ensuring that all occupants and visitors associated with the reservation are aware of and comply with these policies throughout their stay.
RESERVATIONS, PAYMENTS & CANCELLATIONS
Deposits: For reservations made 8–365 days before arrival, a deposit equal to 50% of the lodging balance is required at the time of booking. The remaining balance will be automatically charged to the card on file on the morning of arrival.
Reservations made 7 days or less before arrival must be paid in full at the time of booking.
Cancellations: Reservations canceled more than 30 days before the scheduled arrival date are eligible for a refund of the deposit, less a 5% processing fee.
Requests to Reschedule: Reservation dates may be changed up to 30 days before your scheduled arrival by contacting our office.
Cancellations Within 30 Days: Cancellations made within 30 days of the scheduled arrival date are not eligible for a refund of the deposit.
The remaining balance will be charged to the card on file on the scheduled arrival date unless River of Life Farm is able to rebook the cabin to another party.
Weather & River Conditions: Reservations are not eligible for refunds due to weather forecasts, rain, river conditions, temperature, road conditions, or other natural conditions that do not prevent access to or operation of River of Life Farm.
Weather conditions in the Ozarks can change rapidly, and guests are encouraged to prepare accordingly. See Force Majeure below for circumstances that prevent the resort from safely operating.
No-Shows: Guests who do not arrive for their reservation will be charged the full amount of the reservation.
Force Majeure: River of Life Farm shall not be liable for delays, interruptions, cancellations, or inability to provide accommodations or services due to circumstances beyond its reasonable control, including but not limited to acts of God, floods, tornadoes, severe storms, wildfires, earthquakes, government actions, public health emergencies, utility outages, road closures, or other events that render the property unsafe, inaccessible, or unable to operate.
If River of Life Farm determines that such an event prevents the property from operating safely or providing the accommodations reserved, guests will be offered, at management’s discretion, either a refund of amounts paid or the opportunity to reschedule their stay for a future date.
ARRIVAL & DEPARTURE
Check-In & Check-Out
Check-in: 3:00 p.m.
Check-out: 11:00 a.m.
Check-Out Procedures: Please complete the check-out checklist provided in your cabin before departure.
River of Life Farm does not charge a standard cleaning fee; however, guests are responsible for completing the items listed on the check-out checklist. If checklist items are not completed, an additional cleaning fee may be charged based on the staff time required to complete those tasks.
Early Departures: Early departures do not qualify for a refund or reduction in the reservation balance. Please understand that we are generally unable to re-rent a cabin without sufficient notice.
MINIMUM STAYS
Weekend Stays: A two-night minimum stay is required for weekends. If you are looking for a single-night stay during the week, please call our office and we will make every effort to accommodate your request.
Holiday Weekends: A three-night minimum stay is required for the following holiday periods:
Memorial Day • July 4th • Labor Day • Thanksgiving • Christmas
DURING YOUR STAY
Quiet Time: Quiet hours are from 9:30 p.m. to 8:30 a.m.
Please be considerate of neighboring guests. If excessive noise is interfering with your stay, please notify our staff so we can address the situation.
Visitors: Lodging rates are based on the number of guests listed on the reservation and do not include additional visitors.
If you are expecting visitors for any length of time during your stay, please notify the office. All overnight guests and visitors must be registered with River of Life Farm.
Alcohol: Alcohol is permitted at River of Life Farm; however, guests are expected to consume alcohol responsibly.
Behavior that creates a safety risk, substantially disrupts other guests, damages property, or creates a threatening or hostile environment will not be tolerated and may result in immediate termination of the stay without refund.
Glass Containers: Glass containers are not permitted outside of the cabins. This policy is strictly enforced for the safety of our guests and staff.
Glass containers are also prohibited on the river.
Smoking: Smoking is strictly prohibited inside all cabins. Smoking is permitted outside.
If smoking occurs inside a cabin, a cleaning fee equal to one night’s lodging rate will be charged.
Pets: Dogwood is our designated pet-friendly cabin and welcomes one friendly dog with a $100 pet fee.
Dogs must remain on a leash while on the property and are not permitted on floating shuttles.
Pets are not permitted in any other cabins. If a pet is brought into a non-pet-friendly cabin, a cleaning fee equal to one night’s lodging rate will be charged.
Service animals are accommodated in accordance with applicable law.
CABINS, GROUNDS & EQUIPMENT
Heating & Air Conditioning:
Please do not tamper with or modify air-conditioning or heating equipment. If you have difficulty operating the equipment in your cabin, please notify our staff so we can assist you.
Fire Rings & Grills: Please do not move fire rings or charcoal grills.
Trees & Firewood: Please do not cut, break, or remove limbs from trees or other vegetation on the property. Firewood is available for purchase at the office.
Damages: The primary guest is responsible for damage to the cabin, furnishings, equipment, or other River of Life Farm property caused by members of their party or visitors beyond ordinary wear and tear.
CANOES, RAFTS & KAYAKS
Normal wear and tear on our boats and equipment is expected.
Guests may be responsible for the reasonable cost of repairing equipment damaged beyond normal wear and tear.
Lost paddles, life jackets, and cushions will be charged at replacement cost.
A $60 retrieval fee will be charged for abandoned or lodged canoes, rafts, or kayaks requiring retrieval by River of Life Farm staff.
ASSUMPTION OF RISK & PERSONAL PROPERTY
Guests use cabins, hiking trails, river access, recreational areas, boats, and other equipment at their own risk.
To the extent permitted by law, River of Life Farm is not responsible for loss of or damage to guests’ personal property resulting from theft, fire, accident, weather, or other circumstances outside River of Life Farm’s reasonable control.
DATA & PRIVACY POLICIES
River of Life Farm is committed to protecting the privacy and security of our guests’ personal information.
Primary Guest & Reservation Information: Only the primary guest has authority to make changes to the reservation, modify guest information, or receive information regarding payment history. The primary guest may designate another person listed on the reservation as an authorized party for information sharing.
Information We Collect: We collect information necessary to process and manage reservations, provide guest services, process payments, and comply with applicable legal and financial requirements. We do not sell guests’ personal information.
Payment Security: River of Life Farm utilizes a secure third-party reservation and payment processing system. Credit card information is processed and stored using industry-standard security measures designed to comply with applicable Payment Card Industry Data Security Standard (PCI DSS) requirements.
Data Storage & Security: Guest information is maintained within reservation and business management systems using commercially reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, or destruction.
Access to guest information is limited to authorized personnel whose responsibilities require it.
Legal Disclosure: River of Life Farm may disclose guest information when required by law, court order, subpoena, or other lawful governmental request.
Policy Updates: These policies may be updated periodically to reflect changes in River of Life Farm’s operations, technology, or applicable legal requirements.
